[vc_row][vc_column][vc_custom_heading text=”The Challenge: Tedious, Error-prone Billing Process”][vc_column_text]As with any consulting company, their employees often do two types of work. These are billable and non-billable work.

The company was using a time tracking software to find where its employees spend their time. The goal is to maximize utilization, i.e. more time spent on billable work vs non-billable work.

And while the software they’re using is great by itself, it’s a standalone tool. It doesn’t integrate well with other software the company is already using.

For example, the company needs to bill its clients. They would have to go inside the time tracking software, then do the following:

  • Compile all hours from the respective employees
  • Filter out non-billable work
  • Export the report as a PDF; then
  • Send to the individual clients using the CRM (another software).

This entire billing process is both prone to error and is non-billable work. It’s time-consuming, error-prone, and not a good use of one’s time.

Since the company is growing, their time is best spent on work that contributes to the bottom-line.[/vc_column_text][vc_custom_heading text=”The Solution: Custom Time Management Software” google_fonts=”font_family:Abril%20Fatface%3Aregular”][vc_column_text]The company is already using Zoho People for attendance tracking. All employees log their time here for payroll and HR purposes.

It’s also using Zoho Projects for project management. These are the billable work for clients.

Lebertech implemented a custom solution that combines ease of use with functionality. This custom time management software integrates the data from both software. This means the data from Zoho Projects are automatically synced to Zoho People. Now, both billable and non-billable work is in one centralized place. This makes it easier to create customized reports.

This functionality is currently not available as a native integration.

This information is then synced to the individual client accounts inside Zoho CRM. Because of this, anyone from the company can see everything that’s happening for that particular client. [/vc_column_text][vc_custom_heading text=”The Results”][vc_column_text]Now, the company spends more time working on tasks that matter — billable hours for its clients — while keeping a high level of customer service.

The custom time management software compiles the billable work from different projects. It does this for every client. Then, the software sends them out automatically depending on a predetermined schedule.

Clients receive customized reports based on this schedule. For example, one client might receive the report every Saturday at noon. This report includes the billable time spent and works done for the week.

Now, the company doesn’t have to do this every time for every client. This freed up time and resources for the company. It reduced the risk of human error and increased visibility for the entire company.[/vc_column_text][vc_custom_heading text=”The Technology”][vc_column_text]
